Everyday workflows

Make everyday information easier to find and share.

Make everyday information easier to find and share.

A central message log and clearer handoffs can turn scattered information into something your team can use.

Information is only useful when the right person can find it at the right time. For a small nonprofit, that can be difficult when messages, updates, and records live in separate places. A connected database can support the everyday work as well as the final report.

Start with a single handoff

Choose a routine process and follow it from beginning to end. When a message arrives, where is it recorded? Who needs the information, and how do they receive it? A central log creates a shared record, while a clear notification process helps the next person know what to do.

Build reporting into the work

In my nonprofit role, I used the database to streamline workflows. Messages are stored in a master log and the relevant information is emailed to recipients. Information for board members, funders, and stakeholders is ready in seconds because the records are already connected.

Your process may look different. The goal is not to automate everything at once. It is to reduce repeated work, make responsibility clear, and help your team trust the information they use. Keep access appropriate to each person’s role, especially when records contain personal information.
